Athletic Handbook
St. David's School Mission
St. David's is an independent school in the Episcopal school tradition that prepares young men and women for college and life by challenging them to excel in the vital areas of faith, virtue and knowledge.
Athletics Department Vision Statement
St. David’s will offer dynamic physical education instruction and competitive sports programming for the positive and personal development of our students and for the long-term success of St. David’s School. Our objective is to fulfill the school’s mission by using our gifts and talents to strive for excellence through athletics.
Athletics Department Philosophy
St. David’s believes that taking part in individual and team sports is an integral part of the development of young men and women and provides a wholesome physical outlet following a rigorous academic schedule. Athletic participation promotes desirable attitudes toward the importance of team work/team unity, social growth and leadership of each individual, and preparation for the responsibilities of adult life.
Coaches, participants, and parents should strive at all levels to develop and display the attitudes of good sportsmanship, teamwork, commitment, dependability, good work ethic, self-discipline and loyalty to teams and school. Winning and losing at this level is important only when considered in the context of how we play the game and how we represent ourselves and our school under the pressure of competition.

A Message from the Athletics Director
Dear St. David's Parents and Students:
Warrior athletes and parents are simply the best! Athletes dedicate countless hours to their team and sport while parents dedicate many hours supporting the entire athletic program. Thank you, athletes and parents for making St. David’s the best it can be. Your enthusiasm for St. David's is contagious!
Please review this Athletic Handbook in preparation for the upcoming school year and use it as a policy/procedure guide as the school year progresses.
Following the St. David's mission, we will use participation in sports as one way of preparing for college and life. Certainly, our faith, virtue, and knowledge will be revealed through our participation in sports, and our shared experiences will provide opportunities for growth in each area. Academics will continue to have priority, even while participating on teams that have a tradition of competing at a high level.
It is my pleasure to partner with you in the pursuit of excellence through athletics. Please continue to reach out to me should you have questions or concerns about athletics at St. David’s.
I am excited for the possibilities in front of us. Go Warriors!

Levels of Play
The NCISAA has approved seventh grade participation on the varsity level, and St. David’s has endorsed this policy under certain situations. St. David’s seventh and eighth grade students will generally compete at the Middle School/JV level. With prior approval of the administration/coaching staff, eighth grade students may compete on the Varsity or JV level when fielding a team is at issue and/or when it is determined that an athlete is well beyond the level of middle-school/JV competition and would not benefit from the experience. This will be approved by the Varsity Head Coach, the Athletics Director, and the division level principal. No student will be eligible to letter until they reach ninth grade.
Varsity
At the varsity level, the goal is to compete at the highest level of the ability of the student athlete on the team. Therefore, the commitment and expectations are greater. Student-athletes are required to attend every practice and game. The basic requirements for a student-athlete to play on a varsity team are as follows:
- Player must possess a high level of skill
- He/she must demonstrate a knowledge of the game and team strategy
- The athlete must display a real commitment to the team
- Player must put forth their best work ethicat all times
The varsity level competes in the Eastern Plains Independent Conference (EPIC) for conference play and in the North Carolina Independent School Athletic Association (NCISAA) for state championships.
Junior Varsity
The junior varsity level seeks to prepare student-athletes for the more competitive varsity level by enhancing skills and promoting a commitment to the team, physical fitness, and development. At this level the willingnessto learn and be able to apply what they have learned in a game situation by putting forth their best effort.
Middle School
In the middle school level, goals include the development of basic skills, leadership and sportsmanship. The basic requirements for a student-athlete to play on the junior varsity or middle school team are as follows:
- Attendance at practices
- Demonstrate a willingness to learn
- Apply what they learned in a game situation
- Always putting forth their best effort
The middle school competes in the CAMSC for conference championships for most middle school teams.
Team First
Student-athletes have to put aside individual goals for the sake of the team. St. David’s encourages individual expression and teaches students to think for themselves. In a team concept, this does not always work. Players must put the team first and accept their role on the team. The athletic program at St. David’s will have priority to any club/outside teams during a season. Outside participation may not conflict with any game or practice schedule of the school. Students need to communicate to coaches of any conflicts prior to the tryouts of that sport.

Statement of Risk
Sports Safety & Concussion Management
St. David’s School is committed to ensuring our athletes compete successfully and safely. The complete outline of the St. David’s Concussion Management Plan is located in the Family Handbook. The following guidelines are to be adhered to by all St. David’s Athletics personnel.
Prevention and Education
Concussion education will be provided to all coaches during the initial coaches meeting for each sports season. In addition, all St. David’s School coaches will read, initial, and sign the Gfeller-Waller concussion statement form and complete the CDC Heads Up to Youth Sports: Online Concussion Training annually. Coaches will monitor their student athletes and conduct practices in a way that is safe for all parties involved.
Action Plan
Student-athletes in grades 6-12 that play the following sports will complete an annual baseline ImPACT computerized neurocognitive screening measure: football, cheerleading, baseball, basketball, lacrosse, and soccer. Baseline tests will be coordinated by the Athletic Trainer prior to each sports season. In the event a concussion does occur, each player’s baseline ImPACT profile will help assess the extent of their injury and determine the degree to which they have recovered.
If at any point, during practice or a game, an event occurs that elicits signs and/or symptoms of a concussion, the athlete should be removed from the contest and seen by an Athletic Trainer or available medical professional. If there is no Athletic Trainer or medical professional on-site, the athlete is not to return to any physical activity and the Athletic Trainer should be notified as soon as possible. If the Athletic Trainer or medical professional does feel that the athlete has suffered a concussion, the student athlete will be referred to a physician that specializes in concussion care. The student athlete will not be allowed to participate in athletics until they are cleared by a licensed physician that specializes in concussion care.
All communications regarding the student-athlete and their care are outlined in the St. David’s Concussion Management Plan which can be found in the Family Handbook. The Athletic Trainer will ensure that the coaches remain informed about the recommended gradual return-to-play protocol specific to each student-athlete.
Athletic Facility & Weight Room Usage
We want our student-athletes to utilize the weight room and athletic facilities and be motivated to do so. This part of St. David’s Athletics Program is crucial—it allows our athletes to be stronger and less prone to injury and also promotes a higher level of performance against a higher level of competition.
Weight Room
All who use the weight room (including current students and alumni) must follow posted weight room guidelines. Additionally, students and alumni may not use the facility without proper supervision. Students and alumni must use the facility when supervised by a St. David’s coach or during an open supervised workout time.
Athletic Facilities
The use of athletic facilities by students or alumni (gymnasium, tennis courts or athletic fields) must be supervised by a St. David’s coach and scheduled through the athletic department.

Academic Requirements for Eligibility
Eligibility for Co-Curricular Activities
Co-curricular activities are activities sanctioned by St. David’s School outside of the course of study in the classroom, including but not limited to athletics, the fall play and spring musical, clubs, service organizations, and positions of leadership. To participate in a co-curricular activity at St. David’s, students must maintain passing grades in all courses and fulfill any other academic requirements necessary for the particular activity.
- Students on Academic Review retain co-curricular eligibility.
- Students on Academic Remediation may not represent the school in any co-curricular activity, as determined by the relevant division principal. Students on Academic Remediation must consult with the division principal before trying out or auditioning for a co-curricular activity; being on Academic Remediation may prohibit a student from trying out for or participating in that activity. Student-athletes who have already been selected to a team but then are placed on Academic Remediation may practice but they may not play in games, dress in the uniform, travel with the team, or miss classes for the sake of the sport. When a student has achieved passing grades in all classes at the next scheduled grade update, the student may appeal to the relevant division principal to regain immediate, full co-curricular eligibility.
- If students who have been placed on Academic Remediation are not achieving a satisfactory academic standard in all courses at the end of the next half quarter, they are Academically Ineligible and may not participate in any co-curricular activities (including practices). When a student has achieved passing grades in all classes at the next scheduled grade update, the student may appeal to the relevant division principal to regain immediate, full co-curricular eligibility.
Students who have been on Academic Remediation three times or a combination of Academic Remediation and Academic Ineligibility for a total of three times may lose co-curricular eligibility for the rest of the school year.
Class Attendance
Attending academic classes is a precondition of participating in the co-curricular life of the school (athletics, plays, concerts, practices, etc.). A student must arrive by 11:00 a.m. and attend all classes for the remainder of the school day in order to participate in the day’s co-curricular activities/events. Students may appeal to their Division Principal in the event of an extenuating situation that prevents them from adhering to this policy.
Missed Academic Work due to Athletics
A student who is aware of an athletic competition or other school-sponsored event that will cause him or her to miss part of the school day is responsible for keeping up with his or her schoolwork.
Those responsibilities include:
- Any work that is due during a period that the student will miss should be turned in BEFORE the class period or the teacher may count it as late.
- Any tests that the student will miss should be taken ahead of time if at all possible.
- Otherwise, the student must work out an arrangement with the teacher ahead of time for making up the test.
It is imperative that each student-athlete communicates with each teacher whose class he or she will miss at least a day ahead of time.
Physical Education Credit
Upper School students may earn half of a Physical Education credit for each team on which they participate provided they have finished the sports season in good standing. “Good standing” includes, but is not limited to:
- following all participation requirements outlined in this handbook
- turning in all school equipment and uniforms in good condition by the required date
- timely replacing any lost items
- timely cleaning out all locker rooms
Conduct
The Athletics Department follows the policies set by St. David’s School regarding Upper and Middle School discipline. A student-athlete in violation of improper conduct unbecoming of a St. David’s student will be subject to disciplinary action.
*Please refer to the Family Handbook for conduct policies
Tryouts, Practices and Events
- Tryouts and Cutting Policies
- Uniforms and Dress Code
- Traveling to Off-Campus Events
- Restricted Practice Days
Tryouts and Cutting Policies
Prior to trying out, information will be provided to the student-athletes:
- Time frame of try-out period
- Practice commitment if they make the team
- Game commitments
- Student-athletes will compete in a minimum of three practice/tryout sessions. (Inclement weather or facility availability could reduce number of tryout days)
Choosing members for athletic squad is determined by the coach of the team with the approval of the athletic director. Athletic teams with tryouts could potentially require cuts during the tryout period.
If cuts occur during a tryout for a sport the following criteria will apply:
- Number of student-athletes trying out for a team
- Practice constraints or quality of instruction
- Where applicable, the JV or Middle School coaches shall take into consideration the policies as established by the Head/Varsity Coach in that particular program when selecting final team rosters
- Academic eligibility
Uniforms and Dress Code
St. David’s student-athletes will be issued uniforms and equipment*, which will be in good condition. Athletes are expected to take care of all items issued and return them at the end of the season. If items are lost, the athlete will be charged for full replacement. Replacing one lost or damaged uniform is very expensive, due to set up costs charged by the manufacturer for one reproduction.
*Some exclusions apply; visit the athletics eligibility and tryout information page on the Veracross portal.
Athletes playing at away sites may wear game uniforms to and from the event with the coach’s approval. If street clothes or dress uniforms are to be worn to and from the event, male athletes must keep shirts tucked in and must wear appropriate attire acceptable at St. David’s. Female athletes must also adhere to the school dress code. All student-athletes are expected to dress neatly and modestly and in a manner that represent the St. David’s School in the highest regard.
Traveling to Off-Campus Events
St. David’s generally provides transportation for all athletic activities, including off-campus athletic practices and away events. Vehicles are driven by authorized adults either employed by the school or hired to transport. The school is not responsible for students driving other students to or from athletic events, practices, and team related activities. Likewise, the school is not responsible for adults driving students other than their own children to or from school athletic events, practices, and team related activities.
Athletes must notify the coach when they do not travel by the school’s designated transportation.
Behavior on the school bus must be appropriate. Safety is the most important consideration. “Horseplay,” sitting on the back of the seats, yelling out windows, throwing objects out windows, and loud music will not be allowed and students engaging in such activities will meet with the athletic director and coach to determine appropriate consequence. Each team is responsible for cleaning up after themselves upon the completion of the bus trip. A player who misses the team bus may be ineligible to play in the contest at the discretion of the coach.
Directions to Away Athletic Events
For directions to other playing sites, please refer to the information listed on the Veracross parent or student portal.
Restricted Practice Days
Weekend and Holiday Practices
All practices are to be held on school days if at all possible. However, Varsity practices may be held on weekend and holidays as needed.
Vacation Practices
- Practices held on vacation days, such as over Thanksgiving, Christmas and Winter break should be scheduled in advance. If missing a practice cannot be avoided please communicate with the coach.
- At the Middle School and JV levels, practices during these periods will be allowed only with permission of the Athletic Director.
Early Dismissal of School or Emergency Closing
- In the event there is a scheduled early dismissal of school, practices may be held at that earlier time provided the coaches are available. Normally, the dismissal results in the coach attending a meeting, seminar or workshop during this period.
- Emergency weather conditions may result in an early dismissal or extended period of school closing. If there is an athletic competition scheduled on a day of adverse weather, check the team’s webpage to determine if the event will continue or be postponed. As for practice, varsity level teams may practice during this period upon permission of the Athletic Director.
Expectations for Parents and the Athletic Department

- Expectations for St. David's Athletics
- Expectations for Parents
Relationship between Coaches, Parents and Student-Athletes
We want our student-athletes to learn how to communicate directly with their coach, as this is an invaluable life skill. We understand parents may feel the need to speak with a coach about a certain concern. However, we require student-athletes to speak to the coach first.
We encourage healthy dialog between parents and coaches at the appropriate time. With regard to concerns and even potential conflicts, we ask parents do not approach coaches immediately after a game. Please wait 24 hours after a game before initiating a conversation.
Coaches should never come between the student-athlete and parent, unless there is important information they feel needs to be relayed to the parent.
Coach's correspondence with St. David’s students and their families should only take place from their sdsw.org email account. If you are corresponding with a head coach, please address your email to the coach's sdsw.org email address.
Expectations for St. David's Athletics
What parents can expect from St. David's Athletic Department
- Fulfilling our mission
- A safe, caring, challenging environment
- Close communication with your child and the expectations the coach has for your child
- Fairness and consistency
- Communication regarding any disciplinary action with regard to your child
- An “open ear” when concerns arise--however, the communication protocol listed on the following tab must be adhered to
- The desire and pressure to win is not placed above education
- Professionalism
- Information regarding practice, games (locations/times) and other team requirements can be found on the parent or student portal in Veracross.
Expectations for Parents
St. David’s Athletic Department expectations for Parents
- To support our mission and to adhere to the guidelines, policies, and procedures herein.
- To pick up your child on time from practices or games.
- To exhibit stellar sportsmanship when attending a game or match.
- To communicate concerns at the appropriate time/manner and to adhere to the guidelines outlined in this handbook with regard to communications.
- To seek involvement in appropriate ways as deemed necessary by the coach.
- To support our values and discipline.
- To support our teams and their coaches.
- One of the most effective ways to do this is to keep negative “chatter” about others (players, coaches, and parents) out of all conversations. The coaching staff will also pledge the same to parents and players. If concerns arise that need to be discussed we ask that they be communicated directly to the individual involved. This is a biblical standard and it is our utmost desire to communicate in a positive way at all levels.
- To conduct themselves with exemplary sportsmanship.
- We ask that parents and spectators affiliated with the school maintain respect for the other teams, their coaches, and the officials for the event. We understand that questionable calls will sometimes be made by the officials but we ask that no comments to the officials be made from the stands. We seek to be above reproach and we expect our spectators to do so as well.
- Notification of any illness or injuries or missed practices.
Please also refer to applicable rules and guidelines contained in the St. David’s Family Handbook
If you have a concern, please express it at the appropriate time and place. Do not confront a coach before or after a contest or practice or in the presence of students. See below for the St. David’s Athletic Department policy for addressing concerns regarding your child’s athletic experience.
It can be difficult to accept your child not playing as much as you may hope. Coaches are professionals. They make decisions based on what they believe to be the best for all students involved.
Please use the following steps until a resolution is in place.
- Have your child speak to the coach.
- Arrange an appointment to speak with your child’s coach.
- Arrange an appointment with the Athletics Director.
Recognition of the Student-Athlete
St. David’s seeks to reward the efforts of its athletes, recognizing hard work, dedication, and commitment as well as outstanding performance.
Competition below the varsity level is recognized with the presentation of a Certificate of Participation during the seasonal Athletic Awards Ceremony.
Athletic letters are awarded in varsity sports to athletes in grades 9-12, who meet the requirements and expectations set forth by the coaches of each sport. A varsity athlete that does not meet the requirements and/or do not remain in good standing with the team for the duration of the season, will receive a Certificate of Participation until such time as they do meet the requirements. Coaches will work with the Athletic Director to determine instances in which a varsity letter is not awarded to an athlete.
Only one athletic letter is awarded per sport. Subsequent years are recognized by the presentation of a pin which can be affixed to the letter. Awards of distinction are given to student-athletes at the end of each sports season at the Athletic Awards Ceremony. These awards could include, but are not limited to, awards such as most valuable player, coaches’ award or most improved. All Conference, All State and other forms of award of distinction will be presented to athletes during this time as well.
Additionally, special end-of-the-year athletic awards will be presented at the end-of-year Honors assembly. Award recipients are nominated by coaches and selected by the Athletic Director and administration. These awards are as follows:
Middle School
- Most Outstanding Male Athlete Award honors an eighth grade male athlete who displayed outstanding athletic ability in a minimum of two sports (as an eighth grader) and who possesses excellent leadership and sportsmanship qualities.
- Most Outstanding Female Athlete Award honors an eighth grade female athlete who displayed outstanding athletic ability in a minimum of two sports (as an eighth grader) and who possesses excellent leadership and sportsmanship qualities.
